Opera ons Access Our event coordinator will meet you on site at your scheduled me to open the building and review all systems and opera onal informa on. He will provide his contact number and return at the event end to inspect, restock and close down the site. Event Setup, Breakdown and Cleanup The individual signing and comple ng the applica on form must be on site at the beginning and end of the event or designate another person to perform this func on, and shall be considered the responsible party for use of the public space. Be generous when selec ng a block of me so you have adequate me to meet the needs of your event within the me allo ed. Event set up, deliveries, clean up, and equipment removal must be completed within the rental block. If using a caterer, the caterer also needs to complete their equipment and food set up and removal during the allo ed me. Due to the variety of demands for use of the space, early admission normally cannot be accommodated unless prior arrangements are made. The latest close me for all ac vi es is midnight. Break down and clean up must be done within the rental meframe or addi onal charges will apply. Refund of the damage deposit is dependent upon the return of the facility to neat, clean and undamaged condi on by the end of the rental. A Cleaning Checklist is provided on page 18 as a guide. Overruns at event close will be charged in full hour increments at $100 per hour. Equipment Equipment storage space is not available. Users must provide all equipment needed, including tables, chairs, audiovisual equipment, overhead projectors, extension cords, easels, etc. No materials shall remain stored on the site a er event close without the express wri en permission of the City and addi onal fees may apply. When necessary, the City will remove le over materials and either bill the cost of removal to the user or deduct those costs from the damage deposit. 10
